Booking Terms & Conditions
These Booking Terms & Conditions apply to bookings of hula hoop performances, workshops and related services provided by Hoopshoppen.
Any specific terms stated in an individual booking confirmation or contract form part of the agreement and will apply together with these Booking Terms & Conditions.
1. Booking Confirmation
A booking becomes binding when the agreed booking has been confirmed in writing by Hoopshoppen and, where a deposit is required, the deposit has been paid.
Before confirmation, the details of the booking will be agreed with the client. The written booking confirmation will normally include:
- Type of event or service booked
- Date, time and location
- Performance or workshop duration
- Agreed price
- Deposit, where applicable
- Payment terms
- Cancellation terms
- Any relevant practical or technical requirements
For larger events, festivals or productions, a separate contract and technical or safety requirements may also apply.
2. Deposit and Payment
Unless otherwise agreed in writing, a deposit of 25% of the total booking price is required to secure the booking.
The remaining balance and payment deadline will be stated in the booking confirmation or individual agreement.
Any additional costs agreed in advance, such as travel, accommodation, venue hire or workshop materials, will be specified separately where applicable.
The booking is not considered secured until any required deposit has been received.
3. Cancellation by the Client
Plans can change. If you need to cancel a booking, please give written notice as soon as possible.
A booking may be cancelled without an additional cancellation fee up to 48 hours before the agreed start time. Any amount already paid will be handled in accordance with the individual booking agreement and applicable law.
If a booking is cancelled less than 48 hours before the agreed start time, the 25% deposit may be retained to cover preparation already carried out and the loss of the opportunity to accept another booking for the same period.
Where additional non-refundable costs have been incurred specifically for the booking at the client’s request, these may also be charged where this was agreed in advance and is permitted by applicable law.
Any cancellation charge will not exceed what Hoopshoppen is entitled to claim under the agreement and applicable law.
Where mandatory consumer protection legislation gives a private customer additional rights, those rights take precedence over these cancellation terms.
4. Rescheduling
If your plans change rather than being cancelled entirely, please get in touch as early as possible.
Where possible, a booking may be moved to another available date by agreement. Any additional costs resulting from the change, such as travel, venue or specially purchased materials, will be communicated before the new date is confirmed.
Rescheduling is subject to availability and cannot always be guaranteed.
5. Cancellation by Hoopshoppen
If Hoopshoppen is unable to carry out the agreed performance or workshop due to illness or another unforeseen circumstance, the client will be informed as soon as reasonably possible.
Where possible, an alternative date will be offered. If rescheduling is not suitable or possible, payments received for the service that cannot be provided will be refunded.
Hoopshoppen will not retain payment for a performance or workshop that is cancelled by Hoopshoppen and cannot be rescheduled, except for any separate goods or services already supplied where applicable.
6. Force Majeure
Neither party will be responsible for failure or delay in performing the booking where this is caused by circumstances beyond that party’s reasonable control and the consequences could not reasonably have been avoided or overcome.
Depending on the circumstances, this may include severe weather, restrictions imposed by public authorities, major transport disruption, natural disasters or other exceptional events that make the agreed performance or workshop impossible or unsafe to carry out.
If such circumstances arise, the parties will first try to find a reasonable alternative, such as rescheduling the booking.
Any payments relating to services that cannot be provided will be handled in accordance with applicable law and the circumstances of the individual booking.
7. Events, Festivals & Larger Productions
For events, festivals and larger productions, the organiser must provide suitable conditions for the agreed performance.
Relevant requirements concerning the performance area, stage, access, sound, lighting and safety will be communicated before the event where applicable.
For performances involving fire, additional safety requirements apply. The organiser must provide a suitable and legally permitted performance area and cooperate with any necessary safety procedures, venue requirements or permissions.
A separate performance agreement, technical rider or safety document may be required and must be accepted before the performance takes place.
If agreed safety requirements are not met and the performance cannot reasonably be carried out safely, the performance may be modified, postponed or cancelled.
8. Workshops
A suitable space must be available for workshops, with enough room for participants to use hula hoops safely.
Unless otherwise agreed, hula hoops required for teaching will be provided by the instructor.
If Hoopshoppen is asked to arrange a venue, the cost of venue hire will be added to the booking price where agreed in advance.
The organiser is responsible for providing accurate information about the expected number of participants, age group and any relevant practical circumstances that could affect the workshop.
9. Workshop Materials
Some workshops may involve materials purchased specifically for the individual booking, including workshops where participants build their own hula hoops.
Where special materials have been ordered or purchased specifically for a confirmed workshop with the client’s agreement, the agreed material costs may remain payable if the workshop is subsequently cancelled.
This applies only to costs that have actually been incurred or committed to for the individual booking and cannot reasonably be cancelled, returned or used elsewhere.
Any such material costs and conditions will be communicated before the materials are ordered.
10. Safety
Some workshops may involve materials purchased specifically for the individual booking, including workshops where participants build their own hula hoops.
Where special materials have been ordered or purchased specifically for a confirmed workshop with the client’s agreement, the agreed material costs may remain payable if the workshop is subsequently cancelled.
This applies only to costs that have actually been incurred or committed to for the individual booking and cannot reasonably be cancelled, returned or used elsewhere.
Any such material costs and conditions will be communicated before the materials are ordered.
11. Changes to the Booking
Changes to the date, location, duration, number of participants, performance format or other significant booking details must be agreed in advance.
Changes may affect the price or practical requirements. Any additional charges will be communicated and agreed before the change is confirmed.
12. Consumer Rights
Nothing in these Booking Terms & Conditions is intended to restrict rights that private consumers cannot waive under applicable Norwegian law.
Where mandatory consumer legislation applies and conflicts with a provision in these terms, the mandatory legal provisions take precedence.
Different individually negotiated terms may apply to bookings made by businesses, event organisers, festivals and other professional clients.
